How to Use this Booking System

As a Guest User you can Book a Tennis Court, Dog Ring or Showground Banner Pole.

Please Register or Login to Book a Venue

If you would like to register as a new user, please select logon at the top right hand corner of the home page and begin the setup procedure. This will also allow you to login in and keep track of your bookings. A video tutorial on How To Register is available here.

2018 Regular Hire Booking Requests for  commercial entities, Not for Profit and community organisations are now closed. If you have not submitting an application/s please get into contact with the Venues Department via email as soon as possible.

Enquiries about hiring The Pioneer Room
Expressions of interest to convert The Pioneer Room to a 380 seat theatre are currently being taken via a tendering process. This process is expected to take approximately twelve weeks.  

During this process, The Pioneer Room will be made available for casual hire for larger events. Council has a number of alternate venues for hire for smaller functions and gatherings. 

Once construction of the theatre begins, Castle Grand will be unavailable for hire by community groups until refurbishments are completed.

It is important to note that we have a minimum 10 days notice for any hall or community centre booking. If you wish to proceed with a booking this will be a request only. All bookings will be assessed by the bookings team, if approved you will be notified by email to make full payment to confirm your booking. 

Payments will only be accepted as online credit card payments, as explained previously upon confirmation it is important to login and complete this once notified by email. Bookings will not be held as tentative.

If you decide to cancel your booking the following conditions will apply:

1. Cancellations made 60 days or more prior to the booking date will incur a penalty of 50% of hire cost. 

2. Cancellations made 60 days or less prior to the booking date will incur a penalty of 100% of hire cost.

*Written expression of cancellation will be required. 

Additional Information to Know: 

Private Functions: Cost includes security guard for the entire duration of the function. Applicable to function venue's only.

Pre-purchased cleans: (does not include removal of decorations, belongings and pack up of furniture) this will include sweeping, mopping, thorough cleaning of kitchen and venue such as spills etc. This option is available during the booking process and additional costs will apply.


Casual bookings will be confirmed and payment is required in full at this time. A confirmation email will include any information required, this includes access to the court/s, booking date and times. 


Important to Know...

If you are a Not-For-Profit, Charity Organisation or School it is compulsory that we have documentation to classify this. 

It is important to register your group as a user before placing a booking request. Please notify our team once you are registered so we can update your classification. Do not put through a booking request until the venue's team have confirmed you as a Not-For-Profit Organisation. 




  • You have 20 minutes to complete your booking request (including payment if required). 
  • If you enter your password more than three times incorrectly your account will be suspended. If this happens, please contact our team.

Before you start the booking process make sure you have the following:

  • Date/s of your booking request
  • Details of venue required
  • Required documentation (which could include driver's licence, not-for-profit documentation, public liability insurance, alcohol permit)
  • Credit card as full payment may be required at the time of booking (credit card transaction fees apply)
    NB: We do not accept American Express
